Book Documentation
Resource booking system — define bookable resources like desks, offices, meeting rooms, and cars, then reserve time slots with conflict prevention enforced at the database level, not just a UI check.
Getting Started
Adding your first resource
Go to Book > Resources > New Resource. Give it a name, choose a resource type (or type your own — desk, office, meeting room, car, anything else), and add an optional description and capacity. Capacity is for reference only and is never enforced. Save it and it's immediately available to book.
Making a booking
Go to Book > Book Now, or open a resource directly, then choose your resource, pick a start and end time, give the booking a title, and optionally list who's attending. Submit and it appears instantly on the resource's schedule and in your My Bookings list.
Choosing a resource type
Resource types aren't a fixed list — type whatever describes what you're adding. Reuse the same type name for resources of the same kind (for example, "Meeting Room" for every meeting room) so they're easy to group and find later.
Scheduling & Conflicts
Understanding booking conflicts
Book only rejects a booking when it genuinely overlaps another booking on the same resource — and this is enforced at the database level, not just checked on screen, so it holds even if two people try to book the same slot at the same instant. Importantly, a booking ending at a given time and another starting at that exact same time are treated as back-to-back, not a conflict — you can book a resource the moment an earlier booking ends without waiting.
Viewing the schedule
Open a resource and switch to the Schedule tab to see a day or week grid of everything already booked against it. Use it to spot an open slot before creating a booking, rather than guessing or asking around.
Managing Your Bookings
Viewing your bookings
Go to Book > My Bookings to see everything you've booked, split into upcoming and past. It's the fastest way to check what you're holding without opening every resource individually.
Cancelling a booking
From My Bookings, or from a resource's schedule, open a booking and click Cancel. Cancelling deletes it immediately and frees the slot for anyone else to book — there's no undo, so double-check the booking before confirming.
Changing a booking's time
Book doesn't support editing or rescheduling a booking directly. Cancel it and create a new one with the corrected details instead — this avoids reopening the same double-booking risk a live edit would create.
Managing Resources
Editing a resource
Go to Book > Resources, open the resource, and update its name, type, description, or capacity. Changes apply immediately and don't affect any bookings already made against it.
Archiving a resource
Open the resource and choose Archive instead of deleting it. Archived resources can't accept new bookings, but every booking already made against them stays intact in schedules and My Bookings lists. There's no permanent delete in this version — archiving is reversible, so you can reactivate a resource later if it comes back into use.
Troubleshooting
My booking was rejected as a conflict
This means the resource is already booked for some or all of the time you selected — open the resource's Schedule view to see the existing booking. Remember that only genuine overlaps are rejected; a booking that starts exactly when another one ends is allowed.
I can't book a resource
Check whether the resource has been archived — archived resources are marked clearly in the resource list and can't accept new bookings. Ask whoever manages your organization's resources to reactivate it or add a new one.
A booking I expected to see isn't in My Bookings
My Bookings only shows bookings you created yourself, not every booking on a resource. Check the resource's Schedule view instead to see all bookings made by anyone in your organization.
